Programme Terms, Payment, Cancellation & Refund Policy
Programme Dates: 13–24 April 2027
Location: Shanghai, Southern Anhui and Huangshan, China
Maximum Group Size: 8 participants
Last Updated: 26 October 2026
1. Programme Information and Responsibilities
Inks & Mountains 2027 is a small-group cultural and artistic exchange programme focused on Chinese landscape painting, traditional craftsmanship, cultural heritage, and local experiences.
The programme is developed and coordinated by ArtDifferent Studio, operated by 上海和道盛源商贸有限公司, Shanghai Hedao Shengyuan Trading Co., Ltd., a company registered in the People’s Republic of China.
ArtDifferent Studio may collaborate with InkDifferent Studio on artistic and educational content and may engage appropriately qualified or licensed independent service providers for accommodation, transportation, cultural visits, and other programme arrangements.
The relevant Participation Agreement and booking confirmation will identify the contracting party or parties, payment recipient, and responsibilities for the services included.
This policy governs programme arrangements contracted directly with ArtDifferent Studio. Where particular services are contracted separately with another provider, the terms of that separate agreement will also apply.
This policy must be read together with the General Refund, Cancellation & Returns Policy, the confirmed programme description, and the applicable Participation Agreement.
Nothing in these documents excludes mandatory rights or responsibilities under applicable law.
2. Programme Fees and Registration
The standard programme fees are:
| Accommodation | Fee per participant |
|---|---|
| Shared room (two participants) | €3,590 |
| Private room | €3,980 |
All prices are expressed in euros (EUR).
The total programme fee includes a €1,000 reservation payment, which forms part of the total price and is not an additional charge.
For registrations under the published 2027 payment arrangement, the full programme fee must be received before registration is confirmed, unless a different payment schedule is expressly agreed in writing.
A reservation request or enquiry does not itself guarantee a place.
Registration is confirmed once the required information and agreements have been completed, the applicable payment has been received, and written confirmation has been issued.
Any Early Bird or other discount already confirmed in writing remains reflected in the participant’s individual fee confirmation.
Payments must follow the instructions provided by the designated contracting party. Participants should not transfer funds to unverified accounts or payment details supplied by unauthorised third parties.
3. Reservation Payment and Cancellation Conditions
Because Inks & Mountains is limited to eight participants, preparing the programme may involve advance commitments for workshops, venues, instructors, accommodation, transportation, cultural activities, and related services.
The €1,000 reservation component and the following cancellation schedule are intended to reflect the advance preparation and financial commitments associated with a limited-capacity programme.
They are not intended to operate as statutory earnest money (定金) under the Chinese Civil Code.
A participant may request cancellation at any time before the programme begins.
Cancellation requests must be submitted in writing to the designated programme contact. The effective cancellation date is the date the written notice is received.
Standard voluntary cancellation schedule:
| Date written cancellation is received | Standard refund |
|---|---|
| On or before 15 November 2026 | 75% of the amount paid above €1,000 |
| 16 November 2026 – 15 January 2027 | 50% of the amount paid above €1,000 |
| 16 January – 15 February 2027 | 25% of the amount paid above €1,000 |
| On or after 16 February 2027 | No standard voluntary-cancellation refund |
For example, under the first cancellation period: Refund = (Programme fee actually paid − €1,000) × 75%
The calculations use the actual agreed programme fee, including any applicable discount.
The €1,000 reservation component is ordinarily retained under this standard schedule. No separate administrative cancellation fee is added to the scheduled deduction.
Important: These are the programme’s standard contractual cancellation arrangements. Where mandatory law requires a different refund or limits the amount that may be retained, the applicable legal requirements take precedence. Any cancellation charges must be lawful and may be reviewed in light of the circumstances and relevant financial commitments.
4. Personal Circumstances and Insurance
Participants who become unable to attend because of illness, injury, family emergencies, professional commitments, passport or visa difficulties, or other personal circumstances should notify the programme contact as soon as possible.
The standard voluntary cancellation conditions will ordinarily apply unless the Participation Agreement, an applicable insurance policy, or mandatory law provides otherwise.
The programme may include specified travel accident coverage during the official programme period, as described in the programme information and relevant insurance documents.
Such coverage should not be assumed to provide comprehensive travel, medical, cancellation, or interruption insurance.
Participants are strongly encouraged to obtain their own appropriate insurance covering cancellation, medical treatment, emergency assistance, transportation disruption, and other relevant risks.
Any claim under an insurance policy remains subject to the insurer’s terms, exclusions, and claims procedures.
5. Transfer of Registration
A participant who cannot attend may request to transfer their registration to another eligible person.
Transfer requests must be submitted in writing and include the proposed replacement participant’s relevant information.
Requests received more than 45 days before the programme begins will be considered according to operational feasibility, existing reservations, participation requirements, and applicable law.
Requests received within 45 days of the programme start date may be difficult to accommodate because individual reservations and arrangements may already be confirmed.
ArtDifferent Studio and relevant service providers will assess whether the transfer can reasonably be completed.
The replacement participant must satisfy applicable requirements, accept the relevant agreements, and provide necessary documents before the transfer can be confirmed.
Reasonable additional costs directly resulting from the transfer, including supplier amendment charges or price differences, may be payable by the participants where permitted by law.
Payments already received will normally remain attached to the transferred registration. Any private financial settlement between the original and replacement participants is their responsibility.
A transfer is complete only after written confirmation is issued by the responsible contracting party.
Nothing in this section restricts mandatory transfer rights under applicable law.
6. Cancellation by the Programme Provider
If the entire programme is cancelled for internal or operational reasons attributable to the responsible programme provider, participants will receive a refund of the programme fees paid under the relevant agreement, including the reservation component.
If a clearly communicated minimum number of participants is not reached, the programme may be cancelled in accordance with the applicable Participation Agreement and legal notice requirements.
In that event, participants will receive a refund of their programme fees paid under the relevant agreement.
Where a cancellation gives rise to additional statutory rights or remedies, those rights remain unaffected.
Participants are advised to avoid purchasing non-refundable independent travel arrangements before receiving confirmation that the programme will proceed.
7. Extraordinary Events and Changes Beyond Reasonable Control
Unforeseen circumstances may affect programme arrangements, including severe weather, natural disasters, public-health emergencies, governmental restrictions, transportation disruption, venue closures, and other events beyond the reasonable control of the parties concerned.
Where such circumstances arise, the responsible parties may consider reasonable changes, alternative arrangements, postponement, or cancellation, taking account of participant safety, operational feasibility, contractual responsibilities, and applicable law.
Where the programme can continue with reasonable adjustments, efforts will be made to preserve its essential cultural and artistic content.
If the programme cannot proceed, any refund or allocation of unavoidable costs will be determined according to the applicable contract and mandatory legal requirements.
Where the law permits deduction of documented, non-recoverable third-party expenses, such deductions will be assessed accordingly.
Where applicable law instead requires a full refund or other remedy, that requirement takes precedence.
The existence of an extraordinary event does not automatically permit the retention of all programme payments.
8. Programme Modifications
The published itinerary represents the planned programme at the time of publication.
Reasonable adjustments may occasionally be necessary concerning activity order, timing, instructors, venues, accommodation, transportation, or specific cultural experiences.
When practical, participants will be informed of significant changes in advance.
The programme providers will aim to preserve the overall purpose, nature, and quality of the cultural experience.
Minor adjustments do not automatically entitle participants to cancellation or a refund.
Material changes, non-performance, and any corresponding rights will be addressed under the applicable agreement and law.
9. Participant Responsibilities and Conduct
Participants are responsible for providing accurate personal information and obtaining the passports, visas, travel documents, and other individual requirements necessary for participation.
Participants must comply with applicable laws, venue rules, safety instructions, and reasonable directions given in connection with programme activities.
Participation may be restricted or terminated where serious misconduct, unlawful behaviour, threats, or significant safety concerns make continued participation inappropriate.
Any related costs, refunds, or other consequences will be assessed according to the circumstances, applicable agreements, and law.
Participants should inform the programme contact in advance of relevant dietary, accessibility, or other requirements so that reasonable arrangements can be explored.
10. Partial Attendance and Unused Activities
Participants who voluntarily arrive late, leave early, or choose not to attend scheduled activities are not automatically entitled to a proportional refund for unused arrangements.
Any applicable refund will depend on the relevant programme conditions, the nature of the unused service, and legal requirements.
Where a contracted service is not provided as required, participants retain the remedies available under the applicable agreement and law.
11. Independently Arranged Expenses
Unless specifically included in the written programme description, the programme fee does not cover independently arranged international flights, visas, additional accommodation, personal transportation, or individual purchases.
Such arrangements are normally subject to the conditions of the relevant third-party provider.
The responsible programme parties are not automatically liable for independently incurred expenses, except where liability arises under the applicable agreement or law.
12. Payment Currency and Refund Processing
Programme prices are denominated in euros.
Where payment in another currency is accepted, the applicable amount and conversion method will be communicated in the written payment instructions.
Refund entitlements are calculated by reference to the participant’s confirmed programme fee and the applicable refund provisions.
Refunds will normally be made to the original payer using the original payment channel where reasonably practicable.
Currency-conversion differences and third-party banking charges may affect the amount received, subject to applicable legal requirements.
Approved refunds will be processed within the legally required period or, where no specific statutory deadline applies, without unreasonable delay after the refund amount and necessary payment details are confirmed.
13. Contractual Documents and Applicable Law
This policy forms part of the contractual documentation for Inks & Mountains 2027 where incorporated into the relevant Participation Agreement.
The applicable documents include the Participation Agreement, this policy, the programme description, confirmed fees, and written payment instructions.
For agreements entered into directly with 上海和道盛源商贸有限公司, the parties intend Chinese law to govern, subject to applicable conflict-of-law rules and mandatory legal provisions.
If this policy conflicts with a signed Participation Agreement, the Participation Agreement will ordinarily prevail to the extent legally enforceable.
Nothing in this policy limits liability or consumer rights that cannot lawfully be excluded.
14. Acceptance and Enquiries
Participants should review the applicable programme documents carefully before registration and payment.
Acceptance of this policy must take place through the agreed registration or contracting process.
