1. Programme Information and Responsibilities
Lines & Colors 2027 is a small-group cultural and artistic exchange programme exploring Chinese art, history, calligraphy, painting, music, traditional craftsmanship, and cultural heritage.
The programme is developed and coordinated by ArtDifferent Studio, operated by 上海和道盛源商贸有限公司, Shanghai Hedao Shengyuan Trading Co., Ltd., a company registered in the People’s Republic of China.
ArtDifferent Studio may collaborate with InkDifferent Studio on artistic and educational elements and engage appropriately qualified or licensed independent providers, including travel agencies, transportation operators, accommodation providers, cultural institutions, and specialist activity providers.
The relevant Participation Agreement and booking confirmation will identify the contracting party or parties, payment recipient, and responsibilities for the services included.
This policy applies to arrangements contracted directly with ArtDifferent Studio. Where particular services are contracted separately with independent providers, the relevant separate agreements will also apply.
This policy should be read alongside the General Refund, Cancellation & Returns Policy, the written programme description, and the applicable Participation Agreement.
Nothing in these documents limits rights or responsibilities that cannot legally be excluded.
2. Programme Fees
The standard programme fees are:
| Accommodation | Standard fee |
|---|---|
| Shared room (two participants) | €6,390 |
| Private room | €6,790 |
All programme prices are denominated in euros (EUR).
The advertised fees cover the services identified as included in the confirmed programme description.
International travel to and from China, visa expenses, personal purchases, and independently arranged services are excluded unless expressly stated otherwise.
3. Reservation Payment and Early Bird Pricing
A €1,000 reservation payment is required to reserve a participant place.
This amount forms part of the total programme fee and is not an additional administrative charge.
A reservation is confirmed when:
- The required registration information has been provided.
- The applicable Participation Agreement has been signed or accepted.
- The €1,000 reservation payment has been received.
- Written confirmation has been issued.
Early Bird Pricing
Participants completing the required registration steps and paying the reservation amount on or before 15 February 2027qualify for a €100 reduction in the applicable programme fee.
| Accommodation | Early Bird fee |
|---|---|
| Shared room | €6,290 |
| Private room | €6,690 |
The €1,000 reservation component remains unchanged.
Any confirmed promotional price will be reflected in the participant’s written fee confirmation.
4. Remaining Balance
The remaining programme balance must be paid no later than 15 May 2027, unless a different arrangement is expressly approved in writing.
The remaining amounts are:
| Accommodation | Standard balance | Early Bird balance |
|---|---|---|
| Shared room | €5,390 | €5,290 |
| Private room | €5,790 | €5,690 |
Registrations accepted after 15 May 2027 normally require payment of the full applicable programme fee at registration.
If the balance is not received by the agreed deadline, the responsible contracting party may issue written notice requesting payment within a reasonable additional period.
If payment remains outstanding, the registration may be cancelled in accordance with the Participation Agreement and applicable law.
Any refund of amounts already paid will be determined under the applicable cancellation conditions and mandatory legal requirements.
5. Participant-Initiated Cancellation
A participant may request cancellation at any time before the programme begins.
Cancellation requests must be submitted in writing to the designated programme contact. The effective cancellation date is the date on which the written cancellation notice is received.
The €1,000 reservation payment and the graduated cancellation schedule reflect the programme’s limited capacity, advance planning, supplier commitments, and the increasing costs associated with preparing the programme.
The reservation payment is included in the agreed programme fee. It is not intended to operate as statutory earnest money (定金) under the Chinese Civil Code.
Standard voluntary cancellation schedule:
| Date written cancellation is received | Standard refund |
|---|---|
| On or before 15 May 2027 | 100% of the amount paid above €1,000 |
| 16 May – 15 June 2027 | 75% of the amount paid above €1,000 |
| 16 June – 15 July 2027 | 50% of the amount paid above €1,000 |
| 16 July – 1 August 2027 | 25% of the amount paid above €1,000 |
| On or after 2 August 2027 | No standard voluntary-cancellation refund |
The general refund calculation is:
Refund = (Total programme fees actually paid − €1,000) × Applicable refund percentage
Where the amount paid does not exceed €1,000, the standard scheduled refund is zero unless applicable law or an agreed exception provides otherwise.
Any Early Bird discount is reflected in the amount actually paid.
No additional administrative cancellation charge will be imposed on top of the deductions already specified in this schedule.
Legal qualification: These are the programme’s standard contractual cancellation arrangements. They apply to the extent permitted by applicable law. Where mandatory legal provisions require a different calculation, limit cancellation deductions, or provide an additional refund entitlement, those provisions take precedence.
Cancellation charges must remain legally permissible and may be assessed in light of the circumstances, services performed, and relevant financial commitments.
6. Personal Circumstances and Insurance
Participants who cannot attend because of illness, injury, family emergencies, professional obligations, visa difficulties, individual transportation disruption, or changes in personal circumstances should notify the programme contact promptly.
The standard cancellation conditions ordinarily apply unless the applicable agreement, an insurance policy, or mandatory law provides otherwise.
The published programme includes travel accident insurance during the official programme period, subject to the scope, eligibility conditions, exclusions, and limits of the applicable insurance policy.
This supplementary coverage should not be considered a replacement for personal travel, medical, cancellation, interruption, or emergency evacuation insurance.
Participants are strongly encouraged to obtain appropriate additional insurance.
Any claim under an insurance policy must be submitted according to the insurer’s requirements.
7. Registration Transfers
A participant who becomes unable to attend may request to transfer their complete registration to an eligible replacement participant.
Transfer requests must be made in writing.
More than 45 days before the programme: Requests will be considered according to operational feasibility, existing reservations, relevant supplier requirements, and applicable law.
Within 45 days of the programme: Transfers may be difficult to arrange because transportation, accommodation, tickets, workshops, and specialist activities may already be reserved in the original participant’s name.
The responsible parties will assess whether a transfer is reasonably possible.
The replacement participant must satisfy all relevant requirements, accept the applicable agreements, and provide the necessary identification and booking information.
Reasonable additional expenses arising directly from the transfer, including supplier charges, name-change fees, and relevant price differences, may be payable where permitted by law.
Amounts already paid will normally remain attached to the registration. Any private reimbursement between the original and replacement participants is their responsibility.
The transfer is complete only after all requirements are satisfied and written confirmation has been issued.
Mandatory legal transfer rights remain unaffected.
8. Cancellation by the Programme Provider
If the entire programme is cancelled for an internal, administrative, or operational reason attributable to the responsible programme provider, participants will receive a refund of the programme fees paid under the relevant agreement, including the €1,000 reservation component.
Where a clearly communicated minimum participant requirement has not been reached, the programme may be cancelled subject to the applicable contractual and statutory notice requirements.
If the entire programme is cancelled for insufficient participation, all programme fees paid under the relevant agreement will be refunded.
Any additional rights or remedies arising under applicable law remain unaffected.
Participants are encouraged to wait for written programme confirmation before making independent non-refundable arrangements.
9. Extraordinary Circumstances and Force Majeure
The programme may be affected by extraordinary events beyond the reasonable control of the responsible parties.
Such events may include severe weather, natural disasters, significant public-health emergencies, government restrictions, transportation-system interruption, major venue closures, or other comparable circumstances.
Where appropriate and legally permitted, the responsible programme parties may consider changes to the itinerary, substitute activities or providers, alternative arrangements, postponement, or cancellation.
The safety of participants and the preservation of the programme’s principal cultural and educational objectives will be important considerations.
If the programme cannot proceed, the applicable cancellation and refund arrangements will be determined according to the contract and mandatory legal requirements.
Where the law permits deduction of documented, unavoidable, non-recoverable third-party costs, those costs may be considered in calculating the amount refundable.
Where mandatory law requires a full refund or another remedy, that requirement will be respected.
The occurrence of an extraordinary event does not automatically authorise retaining all programme fees.
10. Changes to Programme Arrangements
The published programme represents the planned activities and arrangements at the time of publication.
Because Lines & Colors involves several cities, specialist institutions, heritage sites, accommodation providers, transportation arrangements, and cultural experiences, individual details may require adjustment.
Reasonable changes may involve activity timing, visiting order, instructors, venues, accommodation, tickets, transportation schedules, or providers.
Specialist access, including visits to heritage or conservation sites, may remain subject to permission, preservation requirements, capacity restrictions, and final confirmation.
Where a particular activity becomes unavailable, the responsible parties will seek a suitable alternative when reasonably possible.
Minor changes that preserve the programme’s essential character do not automatically create a refund entitlement.
Material changes or failure to provide agreed services will be addressed under the applicable agreement and law.
11. Participant Responsibilities and Conduct
Participants are responsible for providing accurate information and obtaining applicable passports, visas, entry permissions, and other individual documents.
Participants must comply with local laws, venue requirements, reasonable safety instructions, and programme conduct standards.
Serious misconduct, illegal activity, threats, or conduct that endangers participants or others may result in restrictions or removal from programme activities where reasonably necessary.
The relevant consequences, expenses, and any refund entitlements will be determined according to the circumstances, contractual obligations, and applicable law.
Participants should inform the programme contact of accessibility, dietary, or other material requirements early enough for appropriate arrangements to be considered.
12. Partial Attendance and Unused Services
Voluntary late arrival, early departure, missed activities, or non-participation in scheduled programme elements do not automatically entitle participants to a refund.
Any refund or adjustment will depend on the relevant contract, the nature of the unused arrangements, and applicable legal requirements.
Where a contracted service is not provided as agreed, participants retain the remedies available under the relevant agreement and law.
13. Independent Bookings and Expenses
Unless expressly included in the confirmed programme description, international flights, visa fees, additional accommodation, personal purchases, and other independently booked services are not included in the programme fee.
Such arrangements are generally subject to the conditions of the provider from whom they were purchased.
The programme providers are not automatically responsible for independently incurred expenses, except where the applicable agreement or law imposes responsibility.
14. Payment Currency and Exchange Rates
Programme prices are denominated in euros (EUR), regardless of the currency used for an individual payment.
Where payment in Chinese yuan, US dollars, or another currency is accepted, the amount payable and relevant conversion method will be communicated in the official written payment instructions.
Participants should not independently calculate or substitute a payment amount in a different currency without confirmation.
Participants are responsible for ensuring that the full amount stated in their payment instructions is received, subject to any expressly agreed allocation of banking costs or applicable law.
Currency movements do not, by themselves, change the underlying euro-denominated programme price.
15. Refund Currency and Processing
Any refund entitlement will first be calculated using the confirmed programme fee and the applicable refund conditions.
The refund may be issued in euros or another agreed currency, using the conversion method applicable to the refund transaction.
The amount received in the participant’s local currency may differ from the amount originally paid because of exchange-rate movements or banking charges.
Refunds will normally be returned through the original payment channel to the original payer where reasonably practicable.
Approved refunds will be processed within the period required by applicable law or, where no statutory deadline applies, without unreasonable delay after the amount and relevant payment details have been confirmed.
16. Contractual Documents and Governing Law
This policy forms part of the contractual documentation for Lines & Colors 2027 where incorporated into the applicable Participation Agreement.
The relevant documents include:
- The Participation Agreement.
- This programme-specific policy.
- The confirmed programme description and inclusions.
- The confirmed programme fee and accommodation arrangement.
- Written payment instructions.
- Any separately identified service-provider agreements.
For agreements entered into directly with 上海和道盛源商贸有限公司, the parties intend Chinese law to govern, subject to applicable conflict-of-law rules and mandatory legal provisions.
If this policy conflicts with a signed Participation Agreement, the Participation Agreement will ordinarily prevail to the extent legally enforceable.
No provision excludes rights or liabilities that cannot lawfully be excluded.
17. Acceptance and Contact
Participants should review all applicable terms and programme documents before committing to registration or payment.
Acceptance of this policy must be recorded through the agreed registration or contracting process.
